Help With Hamilton County Probate Court Web site

The intention of this page is to assist new users that are having difficulty with our web site. The best way for us to assist is to know what problems users are having. Therefore, as we become aware of problems, or difficulties, we will update this page with solutions. If you are experiencing difficulties with one or more features of our site and do not see a solution listed on this page, please E-mail us at or call (513) 946-3588.

Our site is best viewed using Internet Explorer 7.0 or newer. We also recommend that you have your screen resolution set to at least 1024 x 768. Our PDF's work best using Adobe Reader 9.0 or greater.

Help with Searching (back to top)

The Probate Case Search begins with a simple index of all probate cases, however upon clicking on "DETAIL" (with the exception of Marriage License and Mental Health) one can view the case docket. Within the case docket, one can click on "PDF / TIF" and view/print an image of that particular docket entry in either format.

  • Case Name Search (back to top)
    • For the best results when searching for a name:
      • Enter the full last name, then the first letter of the first name. If you do not find the person you were looking for, then try entering only a few letters of the last name.
  • Case Number Search (back to top)
    • For the best results when searching for a number:
      • Case Number must be ten (10) characters.
      • All case numbers issued after December 31, 1999 are entered as such:
        • Two digit century (i.e., "20" for cases in the 2000's)
        • Followed be the two digit year (i.e., "03" for cases in the year 2003)
        • Followed by the six digit case number (i.e., "001234")
        • The end result would be the ten (10) digit case number "2003001234"

      • All case numbers issued prior to January 1, 2000, were in a six (6) digit format. Therefore those cases are entered as such:
        • Two digit century (i.e., "19" for cases in the 1900's)
        • Followed be the two digit year (i.e., "99" for cases in the year 1999)
        • Followed by the original six digit case number (i.e., "990123")
        • The end result would be the ten (10) digit case number "1999990123"

      NOTE: If you are unable to successfully retrieve the case number, try searching by the name.

    • The following is a table explaining the different colors used for case docketing:

    Orange Certification of Notice of Probate of Will (Form 2.4) and all Claims

    ADMR WWA Full Administration/Appointment of Fiduciary With Will Annexed
    AUTH COPY Pleadings admitted from out-of-state or from another county in Ohio
    BIRTH COR Birth Correction
    BIRTH REG Birth Registration
    CIV Civil Case
    DENG Deliver Estate - No Guardian (Minor Settlement)
    DEPOSIT Testator was alive when will put on deposit. Post mortem, the person requesting the will must have estate papers completed and ready to file.
    ESTATE ADM Full Administration/Appointment of Fiduciary
    EX/EXTR Executor - Decedent died with a will
    GDN Guardianship of a minor or an incompetent
    LEGIT/PATERNITY Legitimization or acknowledgement of paternity
    NC Name Change
    NO ADM No Administration (Relief From Administration)
    TAX/NO TAX Only tax papers filed
    TR Trust
    TRE Transfer of Real Estate Only
    WFRO Will For Record Only
    WILL Will For Record Only/Admit Will Only

    • Viewing PDF's (back to top)
      If Adobe Acrobat .pdf files appear as a blank window or frame:
      Click here for Microsoft's solution.
    • Viewing TIF's (back to top)
      If you are unable to view TIF images, verify you have software installed on your computer that will allow you to view images (e.g., Imaging for Windows).
      Note: If you have recently installed Apple Quicktime, you may experience problems viewing multiple page documents - it will only display the first page. There is a known solution to this problem.
      Launch Quicktime Player.
      Go to "Edit."
      Go to "Preferences."
      Go to "Quicktime Preferences."
      From the drop down list choose "Browser Plug-in."
      Click the button labeled "MIME Settings...".
      Using the plus icon < + > expand "Image
      Scroll down, and uncheck "TIFF Image File."
      Exit Quicktime.
      If you are still experiencing problems, you may want to download the latest version of Adobe Reader , and use the PDF images.
